How to subscribe a Power BI Report

Subscribing to a Power BI dashboard allows users to receive regular email updates containing snapshots of the dashboard's current state. Here's how you can set up a subscription for a Power BI dashboard:

  1. Open Power BI Service: Navigate to the Power BI service (https://app.powerbi.com/) and sign in to your account.

  2. Find the Dashboard: Locate the dashboard you want to subscribe to in the "Dashboards" section of your workspace. Click on the dashboard to open it.

  3. Subscription Option: At the top-right corner of the dashboard page, you should see a "Subscribe" button. Click on it to open the subscription options.

  4. Configure Subscription: In the subscription pane, you can configure various options for your subscription:

    • Frequency: Select how often you want to receive the subscription email (e.g., daily, weekly).
    • Day and Time: Choose the day(s) and time(s) when you want to receive the email.
    • Format: Decide whether you want to receive the email in HTML or PDF format.
    • Include Link: Choose whether to include a link to the dashboard in the email.
  5. Recipients: Specify the email addresses of the recipients who will receive the subscription emails. You can add multiple email addresses if needed.

  6. Save Subscription: After configuring the subscription settings, click on the "Apply" or "Save" button to save your subscription preferences.

  7. Confirm Subscription: Power BI may prompt you to confirm your subscription settings. Review the settings and confirm to activate the subscription.

  8. Manage Subscriptions: You can manage your subscriptions from the same "Subscribe" button on the dashboard page. You can edit or delete existing subscriptions as needed.

  9. Receive Subscription Emails: Once your subscription is active, you will start receiving email updates according to the frequency and settings you configured. Each email will contain a snapshot of the dashboard's current state.

By setting up subscriptions, you can ensure that stakeholders receive regular updates on the performance and insights provided by your Power BI dashboards without having to manually check them.
